Venue & Ticket Terms and Conditions

1. General

1.1 These Terms and Conditions apply to admission to events held at Hunter Club Arts Centre (Herein referred to as “HCAC”), including tickets purchased directly from the HCAC website, through an authorised ticketing platform, or through an event promoter.

1.2 By purchasing a ticket or entering HCAC, you agree to comply with these Terms and Conditions, the conditions of sale of the relevant ticketing platform, and any reasonable instructions given by HCAC staff, event organisers or security personnel.

1.3 Individual events may have additional terms, including age restrictions, seating arrangements, accessibility arrangements, photography restrictions or specific entry requirements. Where additional event-specific terms apply, these will be displayed with the event information and/or on the ticket.

2. Tickets

2.1 Tickets are valid only for the event, date and time stated on the ticket.

2.2 Tickets must be purchased through HCAC, the event organiser or an authorised ticket agent. HCAC cannot guarantee the validity of tickets purchased from unauthorised third parties.

2.3 Tickets may not be resold for commercial gain without the prior written permission of HCAC or event organiser.

2.4 HCAC reserves the right to refuse admission where a ticket is counterfeit, has been duplicated, has been cancelled, or cannot be verified.

2.5 Please check your ticket at the time of purchase. Errors should be reported as soon as reasonably possible.

2.6 Ticket prices and booking fees will be displayed at the point of purchase. Booking fees, where applicable, are non-refundable.

3. Refunds, cancellations and changes

3.1 Tickets are generally non-refundable unless an event is cancelled, materially rescheduled, or HCAC or the event organiser agrees otherwise.

3.2 If an event is cancelled, ticket holders will normally be entitled to a refund of the ticket’s face value, subject to the terms of the ticketing provider. Booking fees are non-refundable.

3.3 If an event is rescheduled, tickets will normally remain valid for the new date. Where the applicable ticketing terms allow, customers unable to attend the rescheduled event may be offered a refund.

3.4 If an event’s advertised line-up, format, running order or timings change, this will not automatically entitle ticket holders to a refund.

3.5 HCAC is not responsible for travel, accommodation or other consequential costs incurred by ticket holders in connection with a cancelled, postponed or changed event.

4. Admission and Right of Entry

4.1 HCAC reserves the right to refuse admission or require a person to leave the premises where reasonably necessary for the safety, security or enjoyment of customers, staff, performers or other persons.

4.2 Anyone asked to leave because of unacceptable behaviour will not be entitled to a refund.

4.3 Tickets must be retained throughout the event and may be checked on re-entry.

4.4 Latecomers may be required to wait for a suitable break in the performance before being admitted, particularly where the event involves seated performance or theatrical presentation.

4.5 HCAC may operate bag checks or other reasonable security procedures on entry.

4.6 Outside bottles or containers are prohibited. Reusable water bottles will be required to be emptied before entry.

5. Age Restrictions

5.1 Hunter Club Arts Centre is ordinarily an 18+ venue unless an event is specifically advertised as being suitable for younger attendees.

5.2 Where an event is advertised as all ages or suitable for under-18s, anyone under 16 years of age must be accompanied by a responsible adult aged 18 or over.

5.3 Under-18s must comply with all applicable licensing requirements and HCAC instructions. Where an event requires a parent, guardian or responsible adult to accompany a young person, that requirement is mandatory.

5.4 Proof of age may be requested. Acceptable identification will be determined by HCAC and applicable licensing requirements.

5.5 Age restrictions may vary according to the nature of the event. Customers should check the individual event listing before purchasing tickets.

6. Safe space and acceptable behaviour

6.1 HCAC aims to provide a welcoming and inclusive environment for audiences, performers, staff, volunteers and event organisers.

6.2 HCAC operates a zero-tolerance approach to harassment, intimidation, discrimination, bullying, violence, threatening behaviour or abuse of any kind.

6.3 Anyone behaving in a manner that threatens the safety or enjoyment of others may be removed from HCAC and may be refused admission to future events.

6.4 Customers are encouraged to report concerns to a member of HCAC staff as soon as possible.

6.5 HCAC may contact the police or other relevant authorities where circumstances require it.

7. Alcohol, smoking and prohibited items

7.1 Alcohol may only be purchased, possessed and consumed in accordance with HCAC’s premises licence and applicable law.

7.2 Customers must comply with all age-verification and licensing requirements.

7.3 Smoking and vaping are not permitted inside the venue.

7.4 HCAC may prohibit entry with items considered dangerous, illegal, disruptive or otherwise inappropriate. This may include weapons, illegal substances, flammable materials and other items specified by the Venue or event organiser.

7.5 HCAC reserves the right to refuse entry where a person is intoxicated to a degree that presents a risk to themselves or others.

8. Photography, filming and recording

8.1 Customers may be photographed or filmed during events for legitimate promotional, archival or media purposes unless otherwise stated.

8.2 Customers who do not wish to appear in promotional material should speak to a member of HCAC staff where practicable.

8.3 Professional photography, audio recording or video recording equipment may only be brought into HCAC with prior permission.

8.4 Individual events may impose additional restrictions on photography, filming or recording.

9. Accessibility

9.1 HCAC aims to make events accessible and welcomes customers with accessibility requirements.  

9.2 The venue is single level but contains many steps.  Customers requiring specific assistance should contact HCAC or event organisers before the event wherever possible so that reasonable arrangements can be discussed.

9.3 Accessibility arrangements can vary depending on the event, layout and promoter.

10. Personal Property

10.1 Customers are responsible for their own personal belongings while at HCAC.

10.2 The Venue accepts no responsibility for loss, theft or damage to personal property except where liability cannot lawfully be excluded.

10.3 Any lost property should be reported to a member of HCAC staff.

11. Event Changes

11.1 Event times, performers, running orders, seating arrangements and other event details may occasionally change.

11.2 HCAC and/or event organisers will make reasonable efforts to notify ticket holders of significant changes where contact details are available.

11.3 HCAC cannot guarantee that every advertised performer will appear and changes to a line-up do not necessarily constitute cancellation of an event.

12. Liability

12.1 Customers attend events at their own risk, subject to HCAC’s legal responsibilities and any rights that cannot lawfully be excluded or limited.

12.2 Nothing in these Terms and Conditions excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded.

13. Ticketing data

13.1 Personal information supplied during ticket purchases will be processed by the relevant ticketing provider and/or event organiser in accordance with their applicable privacy policies.

13.2 HCAC may use customer contact information where necessary to communicate important information about an event, including cancellation, postponement or significant changes.

14. Complaints and enquiries

14.1 Customers with a question, concern or complaint should contact HCAC or the relevant event organiser as soon as reasonably possible.

15. Changes to these Terms

15.1 HCAC may amend these Terms and Conditions from time to time.

15.2 The Terms applying to a ticket will be those published at the time of purchase, subject to any amendments required by law, licensing requirements, safety considerations or circumstances beyond the Venue’s reasonable control.

15.3 Where an event has additional or different terms, those terms will be communicated as part of the event information.

16. Acceptance

By purchasing a ticket for an event or entering Hunter Club Arts Centre, you acknowledge that you have had the opportunity to read and agree to these Terms and Conditions.
